Terms of Service

Welcome to Docaffair ("Docaffair", "we", "us", or "our"). These Terms of Service ("Terms") govern your access to and use of our website, platform, APIs, and related services (collectively, the "Service"). By creating an account, integrating with our Service, or otherwise using it, you agree to be bound by these Terms.

1) Eligibility & Accounts

  • You must be at least 18 years old to use the Service.
  • You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.
  • You will provide accurate registration and billing information and keep it current.

2) Service Description

Docaffair provides cloud-based PDF and image automation to extract and transform data into formats such as CSV, Excel, and PDF. The Service may connect to third-party applications (e.g., Zapier, Dropbox, Google Sheets, etc..) to send, receive, or synchronize data. We may introduce new features, modify, or discontinue features at any time.

3) License & Customer Responsibilities

  • Subject to these Terms, we grant you a limited, non-exclusive, non-transferable license to access and use the Service for your internal business purposes.
  • You are responsible for your configurations (parsers, workflows, integrations) and for ensuring outputs are suitable for your use case.
  • You must maintain up-to-date systems, browsers, and security controls when accessing the Service.

4) User Content & Data Processing

  • You retain all rights to files, documents, and data you upload or process ("User Content").
  • You grant us a limited license to host, process, transform, and transmit User Content solely to provide and improve the Service.
  • We may anonymize and aggregate usage data to improve performance, security, and features, provided it does not identify you or your end users.

5) Privacy

Our processing of personal data is described in our Privacy Policy. Where required by law, we offer a Data Processing Addendum ("DPA") including the EU Standard Contractual Clauses for cross-border transfers. Contact us at support@docaffair.com to request the DPA.

6) Third-Party Integrations

  • Integrations are provided "as is" and may be governed by the third party’s terms. We are not responsible for their availability or performance.
  • You are responsible for maintaining valid accounts/keys with third-party providers and complying with their terms.

7) Acceptable Use

  • No illegal, harmful, infringing, or abusive content or activities.
  • No probing, scanning, or testing the vulnerability of the Service or network without prior written consent.
  • No rate-limiting bypass, scraping that degrades stability, or use beyond published API limits.

8) Security

  • We implement reasonable administrative, technical, and physical measures designed to protect User Content.
  • You are responsible for secure account access (MFA recommended) and for promptly notifying us of any unauthorized use.

9) Subscriptions, Billing & Taxes

  • Paid features are billed on a subscription basis. Prices, tiers, and limits are shown on our website and may change with notice.
  • Subscriptions auto-renew unless cancelled before the renewal date. You can cancel in your account settings; access persists until the end of the paid term.
  • All fees are exclusive of taxes. You are responsible for VAT/GST/withholding taxes where applicable. Billing currency is [specify USD or local currency].
  • Except where required by law, fees are non-refundable.

10) Intellectual Property

  • The Service, including software, UI, logos, and documentation, is owned by Docaffair and its licensors.
  • We do not claim ownership of your User Content. You represent you have the necessary rights to process it through the Service.

11) Service Levels & Support

  • We aim for high availability but do not guarantee uninterrupted or error-free operation. Planned maintenance will be announced when practicable.
  • Support is available via support@docaffair.com. Premium SLAs may be available under a separate agreement.

12) Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

13) Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT WILL Docaffair BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL. OUR AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNTS PAID BY YOU TO US FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY.

14) Indemnification

You will defend, indemnify, and hold harmless Docaffair from and against claims arising from your misuse of the Service or violation of these Terms, including claims relating to your User Content or integrations.

15) Export, Sanctions & Compliance

You represent that you are not located in, under the control of, or a national/resident of any country or party subject to embargoes or sanctions. You will comply with applicable export control and anti-corruption laws.

16) Term, Suspension & Termination

  • We may suspend or terminate access for any breach of these Terms, security risk, non-payment, or legal requirement.
  • Upon termination, your right to use the Service ceases. We may retain or delete data per our retention policies and as required by law.

17) Changes to the Service & Terms

We may modify the Service and these Terms from time to time. Material changes will be communicated (e.g., email or in-app notice). Continued use after the effective date constitutes acceptance.

19) Miscellaneous

  • Entire Agreement: These Terms and any order forms/DPA constitute the entire agreement.
  • Assignment: You may not assign without our prior written consent; we may assign to an affiliate or in connection with a merger or sale.
  • Severability & Waiver: If any provision is unenforceable, the remainder remains in effect. Failure to enforce is not a waiver.
  • Notices: We may provide notices via email, in-app, or by posting on our site. Legal notices to us must be sent to support@docaffair.com.
